Your tasks will include:
- Correspondence in English and German
- Management of documents and maintaining of document templates
- Travel planning and travel expense accounting in cooperation with the respective contact persons
- Dates and deadline management
- Scheduling project meetings upon request
- Recording minutes and assisting with general meeting coordination and moderation as requested
- Drafting and maintaining the project participant’s lists and contact information
- Management and maintenance of task and contact lists
- General office work
- Cooperation with other departments
Reporting and Obligation tracking:
- Overview of elementary project deadlines such as expiry dates of bonds, expiry dates of insurances, etc. (fixed dates that are independent from project milestones)
- Storage and distribution of Project Management reports and drawings to necessary distribution lists as determined by the company and project management
- Support with creation and maintenance of a project obligation log, to ensure regularly repeating deadlines are tracked
Data Management:
- Power User for BSCW (Basic Support for Cooperative Work: Company’s data management platform) set up and quality control
- Assisting with data room set up and rights (approval/delegation from Project Manager)
- Assist with project and datarooms closing and archiving
- Maintaining project information databases
Assistance with Punchlist:
- Set up tracking folders per punch list and following up accordingly
- Preparing draft updates for Technical Advisors
Your Profile:
- Several years of professional experience in the field of Assistance, preferably in the project business
- Completed higher education or degree, preferably in a technical field
- High organizational talent and commitment
- Excellent communication skills and high team spirit
- Pragmatic, independent and precise way of working
- Flexibility to adapt to quick changes in a dynamic environment
- Enjoying interdisciplinary tasks in an international environment
- Safe handling of MS-Office applications, especially MS Excel for the preparation of analyses
- Very good written and spoken English
- French skills would be beneficial
